Transcripts and speakers

Recording details page

Tap a recording on the home screen to open its details page. From top to bottom:

  • Title: Tap the title to rename it. The line below shows the uploader, time, and duration.
  • Speaker bar: “All” plus a color-coded, numbered dot for each speaker. The pencil on the right opens “Edit speakers”.
  • Player: Drag the progress bar to jump around. The left and right buttons skip back or forward 10 seconds. “1.0x” changes the playback speed (0.75x to 2.0x). The button on the far left turns on “Smart skip silent sections”.
  • Five tabs: Transcription, SI Minutes, Chapters, SI Staff, and Notes. The details page opens on “SI Minutes” by default.
  • “Action items” in the bottom-right corner: This recording's action items. See Action items and schedule.
  • “…” in the top-right corner: Export summary, Export audio, Share link, Rename, and Edit tags. See Sharing and exporting.

When you scroll up, the speaker bar and player collapse into a single row.

View the transcript

Switch to the “Transcription” tab:

  • At the top is “N speakers · X min Y s speaking”. Expand it to see each person's share of speaking time and how many times they spoke.
  • Below is the “Full transcript”. Each sentence starts with the speaker's color-coded, numbered avatar and name, with the time range on the right.
  • Tap any sentence to move playback to the start of that sentence. If audio is already playing, it continues from there.
  • To see only what one person said, tap their dot in the speaker bar. Tap it again, or tap “All”, to show everyone.

Until you rename them, speakers are called “Speaker 1”, “Speaker 2”, and so on, whatever the app language. Sentences that can't be matched to a speaker show “Speaker”.

The live captions you see while recording are just for following along in the moment. The transcript here is recognized again after the recording is uploaded, with speakers told apart, so it's more accurate.

Edit speaker names and roles

Rename speakers and set roles

Step 1 of 7 · A recording opens on the “SI Minutes” tab. Tap “Transcription” to see who said each line.

The demo plays automatically. You can also tap the glowing spot on the phone, pick a step above, or use the left and right arrow keys.

  1. Tap the pencil on the right of the speaker bar to open “Edit speakers”.
  2. Each speaker has a row. Leave “Speaker name” empty to restore the default name, and leave “Role” empty to use the role identified in the minutes. Names and roles can each be up to 50 characters.
  3. Tap “Save”. The names in the transcript update right away, and the attendees in the SI Minutes update too with the new names and roles, with no need to re-analyze.

Merge speakers

If the same person was recognized as two different speakers, you can merge them:

Merge speakers

Step 1 of 7 · Sometimes one person gets split into two speakers. This “Speaker 3” is really the R&D lead, Speaker 2.

The demo plays automatically. You can also tap the glowing spot on the phone, pick a step above, or use the left and right arrow keys.

  1. In “Edit speakers”, tap the merge icon at the end of the row for the speaker you want to merge away.
  2. Under “Merge ‘A’ into…”, choose the target speaker B.
  3. When asked “Merge speakers?”, tap “Merge”. Everything A said is attributed to B, and the transcript and the attendees in the minutes update accordingly.

Merging can't be undone

Once merged, speakers can't be split apart again. Before you confirm, double-check who is being merged into whom.

Change the speaker of a single line

If only a few sentences are attributed to the wrong person, you can fix just those lines:

Change the speaker of one line

Step 1 of 5 · In the recording, tap the “Transcription” tab.

The demo plays automatically. You can also tap the glowing spot on the phone, pick a step above, or use the left and right arrow keys.

  1. In “Transcription”, tap the avatar and name in the top-left corner of that sentence.
  2. Under “Speaker for this line”, choose the right person. If no one fits, choose “New speaker…” and give them a name (leave it empty to use the default name).
  3. You'll see “Speaker updated for this line”, and the speaking-time shares and the attendees in the minutes update accordingly.

Make transcripts more accurate: the ASR dictionary

If names, product names, or industry terms are often recognized incorrectly, add them in “Profile → Preferences & permissions → ASR dictionary” (up to 500 words). From then on, live captions and recording transcripts will prioritize these words. Recordings that have already been transcribed aren't recognized again. See ASR dictionary.

Chapters and notes

  • Chapters: The chapter titles of the recording, listed by time. Tap a row to jump to that time. Chapters are generated together with the SI Minutes.
  • Notes: Every part you marked with the flag while recording shows up here, with its time range, the key points you wrote, and what was said during that time. Tap the time to jump there and play. You can also edit and delete notes.
